The Maintenance / Repairs of Soccer Fields

Project Scope

On Behalf of the Cayman Islands Government (CIG), the Ministry of Education, Training, Employment, Youth, Sports & Culture invites tenders from eligible contractors for the Maintenance / Repairs of Five football field’s one each at: Ed Bush Sports Centre (Practice field), Truman Bodden Sports Complex, Haig Bodden Sports centre, Donavon Rankin Sports Centre and North Side Sports Centre.

Description of Services

The services required include, but are not limited to the provisions of repairs/ maintenance of these fields. A full scope of works will be contained in the tender documentation package.

The proposed works includes the removal of existing scrubs and weeds , installation of 6 to 8 inch base of potable topsoil , procurement and installation of approximately 520,000.00 (104,00.00 each) S.F of Bermuda high grade grass sprigs or grass seeds to germination and maturity as well as the installation of FIFA certified irrigation system at each location.

Bidders may bid to supply the desired services for on one or for any combination of these projects.

Eligibility for Tender

Interested firms will need to meet the following eligibility criteria in order to be considered and evaluated.

  1. Have completed at least two natural grass soccer field’s installation projects within the last five years.
  2. Proven ability to install natural (Bermuda) grass field and comply with the FIFA standards for irrigation system.
  3. Ability to maintain the proposed installation of grass and irrigation system for a period of one year.
  4. Companies or individuals tendering must comply with all applicable local laws including business registrations, pensions and other labor regulations and any other applicable regulations.
  5. Overseas bidders are reminded that the bids should be inclusive of all cost necessary for them to conduct business in the Cayman Islands.

The Form of Tender, and any other supporting documents stated on the Form of Tender together with the Abstract of Particulars and Tender Summary (if provided) when completed and signed are to be received not later than the time given on the Form of Tender in the enclosed envelope which must not bear any indication of the bidders identity.

Brief Scope

The project will involve the Maintenance/ repair of Five Soccer Fields grass surface and the installation of a FIFA certified irrigation system at three of these fields, the fields comprise of area approximately 104,000.00 S.F each or 520,000.00 S.F total area.

The fields are being repaired to a FIFA standard to enable or players to be better prepared and less prone to injury as a result of poor surfaces.

The scope of work includes Irrigation installation, Topsoil installation and leveling, Installation of Grass/Grass sprigs & maintenance of field for six months.

The Project is scheduled to commence in July 2007 and shall be completed not later than December 2007

The successful bidder will also be required to adhere to following;

  1. The contractor is solely responsible for all materials and labour necessary for the completion of the works.
  2. The contractor is responsible for periodic cleaning of the site during the construction process and removal of all construction associated materials and debris at all times necessary, during and at the end of the construction period.
  3. The contractor is responsible for ensuring that all safety measures are adhere to on site during the construction process, including the safety of all workmen along with the security of the site.
  4. Stockpiled materials and construction equipment used for the project shall be suitably contained or stored in the specified locations only, and store in a way not to impede, harm or do damage to pedestrian/vehicular traffic, adjacent properties or the surrounding environs.
  5. The contractor shall be responsible for the deployment of personnel to regulate construction traffic entering and exiting the site at all times and provide a Traffic Management Plan that meets all regulatory traffic laws.
  6. The contractor is required to ensure that measures are put in place to mitigate against all potential social and environmental impacts that can arise as a result of the use of equipment and machinery associated with the implementation of the Project.

Please Note

The contractor shall be deemed to have examined the drawings, conditions of contract and to have acquainted himself with the detailed descriptions of the works to be done and the way in which they are to be carried out.

The contractor shall be deemed to have visited the site before preparing his tender and to have examined for himself the conditions under which the works will proceed and all other matters affecting the carrying out of the work and cost thereof.

Return of Tenders

Further Information

All bidders are requested to submit any question they may have 10 days prior to the tender return date. These question and there answers will be posted on our website 5 days prior to the tender return date.

Late tenders will not be accepted, CIG will not defray any cost incurred by bidders. The Cayman Islands government shall not be bound to assign any reason for not accepting any tender.
